Luggage

Kindly note that the baggage limit for our inbound scheduled flights is strictly 15 kilograms per person. It’s important to use soft bags, as they are highly recommended, if not necessary. The cargo compartments in light aircraft have limited space and weight allowances. Hard suitcases like those of the Samsonite type may not easily fit into these compartments, if at all. Considering the limited storage space in safari vehicles, we advise using soft duffle bags instead of hard suitcases.

Your Contract

Upon mutual agreement between Africa Moja Safaris and yourself regarding the proposed itinerary and corresponding quote, a legally binding contract will be established. Confirmation of this contract occurs upon issuance of an invoice. It’s important to note that your contract for selected services will be directly with the respective supplier(s). The terms of your supplier contract will adhere to the laws of their country and will be under the exclusive jurisdiction of the courts in that jurisdiction.

Reservations, Payments and Deposits.

Regarding reservations, payment, and deposits, once Africa Moja Safaris confirms your booking, the terms and conditions of the contract become effective starting from the date of the confirmation invoice. To secure your booking, a non-refundable deposit of 15% of the total invoiced amount is required. The remaining balance must be settled no later than 30 days before the commencement of the services. If bookings are made within 30 days of the departure date, full payment is immediately due upon written confirmation.

Prices

Please be aware that all bookings are contingent upon availability at the time of reservation and cannot be guaranteed, except for scheduled departures.

Prices are stated in US dollars and are subject to alteration without prior notice. If there are increases in prices or costs from suppliers due to factors such as inflation, currency devaluation, or fuel surcharges, Africa Moja Safaris will be obliged to pass these additional costs on to you. Suppliers retain the right to raise prices at any point in the year if costs escalate beyond their control. In cases where a client’s itinerary spans two different seasons, the price will be proportionally divided between the two seasons.

The rates cover a range of services outlined in the itinerary, including accommodation with meals, guided tours, transportation, driver/guide services, park entry fees, as well as hotel taxes and service charges.

However, the rates do not include the following (unless otherwise stated): Medical Air Rescue services, porterage, domestic air charters, visa fees, beverages, laundry, telephone calls, scheduled flights, gratuities, and any personal expenses.

Note: Optional Flying Doctor services are available at USD 25 per person (subject to change and vendor terms & conditions).

Child rates apply only when one or two children under 12 years old share a room with two adults. If two children share a room with their parents, they will share a bed, as most hotels/lodges cannot accommodate a fourth bed. A child sharing a room with one adult will be charged at the full adult rate.

Single Room Policy

Single-room accommodations are available for an additional fee; however, suppliers cannot guarantee the availability of single rooms. Even if paid for at the twin sole-use rate, single rooms may still be scarce and not guaranteed. In such cases, the supplier will provide an appropriate refund to the client. Suppliers typically allow a maximum of three single rooms per group at the single room rate, except in high-end luxury camps where the number of single rooms is limited to only two.

Cancellation Policy

If you need to cancel your confirmed booking, you must notify the company in writing.

Reservations that are canceled, shortened in the length of stay, or reduced in number (referred to collectively as a “cancellation”) within 30 days of the arrival date are subject to cancellation and no-show fees:

55 days to 41 days before arrival: 25%

40 days to 22 days before arrival: 35%

21 days to 15 days before arrival: 50%

14 days to 07 days before arrival: 65%

06 days to 03 days before arrival: 80%

Within 48 hours and after the commencement of the holiday: 100%. Once the holiday has commenced no refund will be made. The figures expressed are the percentage of the total tour price.

Cancellation: Although it rarely happens, Africa Moja Safaris will do their utmost to avoid doing so. Africa Moja Safaris must reserve the right to cancel tours and other arrangements. Where your holiday is canceled (other than due to your default in payment) due to unavoidable circumstances beyond our control e.g. Natural disaster or overbooking, Africa Moja Safaris will offer you the choice of purchasing an alternative holiday.

Force majeure

Force majeure refers to unforeseeable events that suppliers could not have anticipated or prevented, even with reasonable care. Such events may include war, riots, civil unrest, labor disputes, terrorist acts, natural disasters, fires, extreme weather conditions, government actions, and similar circumstances beyond the suppliers’ control. In such situations, the suppliers are not liable to compensate or cover any expenses or losses incurred by you if they are forced to cancel, delay, shorten, or modify your holiday arrangements, or if the performance of their contractual obligations is hindered or affected.

Complaints

In the rare event that a tour member experiences a dispute during the safari, it must be promptly reported to the local representative, hotel, lodge, or camp management to address the issue. Typically, complaints can be resolved satisfactorily on the spot. However, if the matter remains unresolved and the tour member wishes to pursue it upon returning from the safari, the complaint must be submitted in writing to Africa Moja Safaris within 21 days after the end of the tour. It should include the tour reference, destination, and departure date for proper handling.

Responsibility of Africa Moja Safaris:

Africa Moja Safaris functions solely as the intermediary for the suppliers and will not be held liable for any negligence, breaches of contract, or omissions committed by the suppliers, their staff, or any other intermediaries. It is the responsibility of all customers, including tour members, tour operators, and travel agents, to thoroughly review and understand the terms and conditions set forth by the suppliers. Africa Moja Safaris’ liability for its negligence or breaches of contract is limited to the tour price.

Transportation:

Safari minibusses, cars, land cruisers, and coaches will be provided based on the itinerary and the number of participants. Africa Moja Safaris retains the right to engage the services of subcontractors. Upon request, multilingual driver guides can be arranged. For flying packages, clients will share vehicles with other guests booked at the hotel. For exclusive use, clients should inquire with Africa Moja Safaris regarding additional charges, which are subject to availability.

Insurance:

Traveling in Africa inherently carries certain risks and hazards. Therefore, it is a prerequisite for all tour members to possess adequate and appropriate travel insurance throughout their tour. This insurance, which is not provided by Africa Moja Safaris, should comprehensively cover all personal needs, encompassing death, personal injury, medical expenses, repatriation in case of accident or illness, cancellation or curtailment of the tour, and personal property.

Special Requests:

Any special requests, such as preferences for single rooms or specific dietary requirements, must be communicated in writing at the time of booking. While the supplier will make every effort to accommodate such requests, they cannot be guaranteed, and any inability to fulfill them will not constitute a breach of contract.

Africa Moja Safaris offers services including flight reconfirmation and airport assistance within Africa if all services are provided by Sun Africa Expeditions. If clients have arranged some services independently, Africa Moja Safaris will only reconfirm those services for which forwarding addresses or contacts are provided.

Itineraries:

Due to the high demand for safaris, there may be limited availability of lodge/hotel accommodations. While all bookings will be confirmed, there may be occasions where changes are necessary. The hotels/lodges/camps mentioned serve as an indication of the category, and rooms may be reserved at similar establishments. We will make every effort to inform you of any changes known to us before departure, but please be aware that changes without notice may occur, and this must be accepted at the time of booking. Whenever possible, we aim to secure rooms with private baths/showers based on double occupancy. Single rooms are available at an additional cost, but neither single rooms nor rooms with private baths/showers can be guaranteed.

Safari minibusses, cars, four-wheel-drive vehicles, or coaches will be provided based on the route and the number of participants. We reserve the right to enlist the services of subcontractors as needed. Multilingual chauffeurs/guides will be provided. Occasionally, mechanical issues, changes in lodge accommodations, or adverse road conditions may necessitate a change in routing or game viewing without prior notice. We reserve the right to offer substitutes of equal value or to cancel any tour. In practice, few itineraries are affected, but a degree of flexibility on your part will ensure a unique and rewarding tour experience.

The descriptions of accommodation facilities and services provided in our brochures are presented in good faith. However, certain facilities or services may be unavailable or limited due to maintenance, adverse weather conditions, local circumstances, seasonal restrictions, etc.

While every effort has been made to ensure the accuracy of this website/e-brochure at the time of printing, occasional errors may occur. Therefore, you must verify all details of your holiday booking with your travel agent or supplier when presented.
